This Privacy Policy explains how Aylence (hereinafter referred to as “Aylence”, “we”, “us” and “our”) collects, uses, processes, shares and safeguards your personal information and data when you interact with us, use our platform and the offered services, or participate in the courses and programmes.

We are a learning platform that offers online and offline courses, seminars, projects, training, mentoring, and other ways to help you learn new skills.

The sources from which we collect your data include:

  1. Information provided at account registration, subscription to newsletters, or queries,
  2. Information which is filled into course forms, questionnaires, surveys through our website, or other media platforms, such as Instagram or Facebook, where we regularly engage in marketing and outreach of our courses, trainings and other services,
  3. Data automatically collected from website engagement, including information collected by cookies, feature usage, and activity patterns on the website, as well as all data that translates to browser statistics, IP addresses, and cookies.
  4. Financial details with respect to the purchase/subscriptions/fees paid while availing services from our platform.

Through our forms for enquiry into a course, registration to a service/course/event, and signing up, we collect the following Personal Identifiable Information (PII):

  7. Company or Name of Organisation

We also seek to collect your views about:

  1. Your level of understanding of AI and related concepts
  2. Your expectations from the workshop/course/programme/event
  3. The outcomes you want to achieve through the course or programme

The purpose of collecting this information is to help us understand your expectations of the course, so we can improve the services we offer.

Out of the above-listed, when we ask for your personal information, we require you to necessarily provide your name, phone number and e-mail address. Providing other information is recommended, but optional.

When you sign up or log in to your Aylence account, we collect your login/user details and password details required for authentication, sign-in, registration, and password change processes. If you sign up/log in to the Aylence account through your social media account, we collect the information associated with these social accounts for the purpose of authentication and registration.

We collect information such as device type, operating system, browser type, version, language preferences, IP address (for security, analytics and fraud prevention), cookies and tracking technologies.

During events organised and/or conducted by us, we capture photographs and videos for event and media coverage, and regularly post photos and video clips for media promotion. You may request to restrict the use of your image or likeness in promotional materials.  Upon your request, we will take reasonable steps to ensure your image is not featured in future active digital or print promotions.

  1. Purpose and Legal Basis for Processing

We collect your data for lawful purposes and process it in order to make the courses and services accessible and available to you. We collect and process your data for purposes that may be required in the course of our business, including to comply with applicable laws, ensure platform security and prevent data breaches.    

We process your data based on your explicit, informed, and freely given consent when you interact with us, create an account or use our services. Your information may be used for the following purposes:

  1. Verifying your identity at the time of signing into your user account,
  2. Providing access to course videos, training, materials, reports, course schedules, and course certificates,
  3. Enhancing the quality and specifications of the course or programme to suit your level of understanding and preferences, and to personalise training,
  4. Retargeting and networking when we organise events or workshops in your location,
  5. Communicating newsletters, e-mails, schedules, marketing and promotional content, confirmation of payment, and other relevant notifications and communications,
  6. Conducting website maintenance, ensuring appropriate security of the platform, providing customer care and support, and responding to inquiries and requests,
  7. Conducting market research, engagement analysis, data and market analytics for improving the services offered by us, and
  8. Contacting you for marketing and promotional purposes about any prospective course, training or services, or to provide relevant updates as may be required.

 

  1. Selling, Sharing and Disclosure of Information

Aylence does not sell or trade any personal information to any third party.

We share your name, email address and contact number with venue partners and organisers of our training sessions, workshops or related events. This is for the purpose of authenticating your identity, for communications and sending notifications, and other event-related requirements.

We use third-party payment gateways to process payments for courses or other subscriptions. Your information may be shared with these third-party payment gateways only for the purpose of processing these payments.

We hire third-party service providers to enhance our operations, including Learning Management Systems (LMS), virtual classrooms, Customer Relationship Management (CRM) tools, cloud-hosting platforms, user management, payment gateways, database management, marketing and data analytics infrastructure of Google and Meta. These third parties have access to your personal information, which is required to perform the particular task or processing for which they are employed. They are obligated not to disclose or use your information for any other purposes.  

We may disclose your information if required to do so by law, court order, or to protect our legal rights, for any investigation, legal proceeding, or other legal process of a court of law where we may be bound to disclose under the applicable laws in force.

We may also disclose your information where it is necessary to confirm the identity, prevent, detect, or take any action against any illegal activities, including but not limited to cyber accidents, suspected or apprehended fraud, or where there is a reasonable fear of any situation involving potential or material threats to the physical safety of any person, property, etc.

 

  1. Tracking Technologies

Google Analytics and Meta Pixels are embedded on our website, which allows us to track your actions and interactions with our digital interface. They automatically collect and log certain digital data, including but not limited to:

  1. online identifiers such as IP address, Facebook User ID,
  2. device and browser information such as device type, operating system and browser name,
  3. browsing activity, such as date and time of visit, and
  4. conversion events such as searching for a product, initiating registration or completing a purchase.

These data are collected to process for the following purposes:

  1. Advertising and Optimisation: To define “custom audiences” and identify other users likely to convert, allowing us to deliver more relevant advertisements on Meta-owned platforms (such as Facebook and Instagram).
  2. Analytics and Measurement: To analyse the effectiveness of our conversion funnel, calculate return on ad investment, and understand user behaviour to improve site performance.

Your consent for such tracking is voluntary and informed. You may exercise your right to withdraw consent or restrict processing by cookies or tracking technologies at any time through website settings, through your browser controls or with external opt-out tools. Please note that withdrawing consent or blocking these technologies may impact the functionality of certain services offered on our Platform.

Aylence’s services are mainly made available to individuals who are at least 18 years old. However, if you are under 18 years participating in any of Aylence’s trainings or programs, we ask that you provide us with your parents’ or guardian’s information for verification.

We do not process children’s data in a manner that may cause a detrimental effect on their well-being. We do not engage in targeted advertising to child users. Any misrepresentation of age-related information will not be held against Aylence.  

Parents/Guardians have the right to withdraw consent at any time. Upon such a request, we will delete any personal data of the minor unless retention is required by law.

We always strive to ensure that secure and commercially reasonable technical and organisational security measures are used to protect your information against loss, misuse, or alteration as long as it is within the limits of our system and usage. Given the inherent nature of internet transactions, we do not provide any guarantee for the security or integrity of the information collected or generated by the use of our platform/services.

Any personal information that is shared by you during our events, courses, or training programmes with any external persons, peers, visitors, speakers, or instructors is outside the scope of this policy. You shall be responsible for any consequences thereof.

 

  1. Withdrawal of Consent and Request for Data Deletion

You may request the withdrawal of consent over the processing of certain information or may request the deletion of your account and its associated data at any time. We will use an authentication procedure to confirm the identity, following which, the account and associated personal information will be removed from our systems. Please note that some data, such as processing logs, may be retained as required by law or for justifiable business needs. Your consent to process these data provided prior to the withdrawal shall be unaffected by the withdrawal of consent or request for deletion.

Your data is retained with Aylence as long as you have an active account on our platform.

Our platform hosts and strives to build an active educational community for promoting discussions and engagement on relevant subject matter, trends, opinions, and associated news. We retain your personal information to actively promote content, share newsletters and market our courses and services. We also notify you when we are organising any course, workshop, session, or event in your location, for better outreach and participation. You may opt out of receiving such updates or communications. We modify or update this practice in accordance with legal and business requirements.
